BUSINESS OFFICE BOOKKEEPER/ADMINISTRATOR

JOB DESCRIPTION

The Bookkeeper position is responsible for providing daily bookkeeping tasks that ensure Emmanuel adheres to best practices and requirements for non-profit business operations and reporting. Administrator is responsible for business office support and communications. Confidentiality, efficient time management, excellent organizational skills, creative writing, and attention to accuracy are essential qualifications for this position.

JOB DUTIES/ ESSENTIAL FUNCTIONS/ TASKS

  • Responsible for essential tasks relating to Accounts Receivable in accordance with Emmanuel’s accounting policies and procedures.

  • Responsible for maintaining the general ledger in QuickBooks.

  • Manage weekly cash boxes and petty cash funds.

  • Ability to learn and train others in Aplos (new fund accounting software). 

  • Reconcile accounts which include staff credit cards.

  • Provide information to the external accountant in a timely manner for the production of financial statements.

  • Maintain an accurate and organized file system.

  • Provide administrative and writing support to the Superintendent as requested.

  • Perform state funded clerk roles that include purchasing, tracking, and inventorying for state funded purchases.

  • Manage processes related to the Jon Peterson Special Needs (JPSN) Scholarship Program.

  • Facilitate background checks for volunteers and staff.

  • Respond to questions and inquiries from staff, families, and vendors. 

  • Answer incoming calls and other receiving duties for the business office.

  • Crosstrain with other business office staff members.

SKILLS REQUIRED

  • Bachelor’s degree in accounting or business administration, or equivalent business experience.

  • Knowledge of nonprofit bookkeeping and generally accepted accounting principles.

  • QuickBooks and Excel expertise.

  • A basic understanding of non-profit business operations.

  • Excellent written and verbal communication skills.

  • Ability to understand financial data, processes, and procedures.

  • Perform job responsibilities in an efficient and timely fashion.

  • Computer proficiency in Word.

  • A high degree of attention to detail, accuracy, and organization.

  • Friendly and customer service oriented.

  • Pass BCI/FBI background checks.

  • Agreement with Emmanuel’s faith and mission statements.
